    Registration & Fees

    Is the annual Florida Conference on Aging cancelled?

    No. The Conference is still on, but it will be presented virtually. No sessions will take place in person, and the Caribe Royal Hotel in Orlando will not host the event. Be sure to cancel travel reservations as soon as possible to avoid cancellation fees.  If you booked directly with the Caribe Royal, you should have received a cancellation notice on or around June 4, 2020.

    Are the dates of the conference changing?

    Now that we’re going virtual, we will be reducing the event by one day and hope to plan and ‘in-person’ event in February 2021.

    The virtual conference is tentatively schedule for Tuesday, August 25th and Wednesday, August 26, 2020.  Conference hours each day will be from 9:00 a.m. to 5:00 p.m. Eastern. If you’re unable to attend all days, the sessions will be recorded and available for viewing through September 30, 2020.

    What does the Florida Conference on Aging cost?

    Conference Group Rate for Members (4 attendees - register more than 4 attendees the rate would be $125 for each additional person):

    Exhibitor Fees:

    Non-profit or Government - $350 and includes 1 registration. 

    Corporate - $500 and includes 2 registrations.

    Additional attendee registrations for exhibit booths will be billed at the rates noted above.


    I already registered for the conference. What do I do?

    If you registered prior to June 1, 2020, FCOA will contact you about transitioning your registration to a virtual conference registration.

    When I registered, I paid the full fee. Will I receive a refund for the new lower price?

    If you registered before we reduced the registration fee, your payment will be refunded, you can receive a credit toward the 2021 conference OR the payment can be applied to your membership dues. Questions can be sent to [email protected] or by calling 850-222-8877.

    I have not yet registered for the conference, but I’m interested in participating in the virtual event. What do I do?                 

    You can register for the Virtual Conference at (scroll to the bottom of the page) or by calling 850-222-8877. Prior to the conference, you will receive an email from us to access conference materials, live content, recorded on-demand sessions, and the Virtual Exhibit Hall and the Sponsor Showcase. The entire conference experience will be available from the comfort of your home or office.

    Can I get a refund for my registration fee if I don’t want to attend the virtual conference?

    Cancellations received before July 3, 2020 at 5 p.m. ET will receive a full refund, less an administrative fee of $50. Cancellations received after that date will not be eligible for a refund. Refund requests should be sent to [email protected].

    What will the Virtual Conference look like?

    The Virtual Conference will include up to 50 workshops over the course of the conference dates. All conference plenaries may be broadcast live, in real time or recorded depending on speaker schedules. Through the virtual event platform, you will be able to connect with colleagues from across the state, participate in workshops and plenary sessions, and visit the Virtual Exhibit Hall and Sponsor Showcase. All sessions will be available to registrants on demand, along with all conference materials, so you can enjoy them at the time that works best for you. A schedule at a glance can be found on the Conference website and our Conference Program will be available soon.

    I registered for an intensive. What do I do?

    Within 30 days, these fees will be automatically refunded to you. You do not need to contact us.

    Virtual Conference Participation

    What days or times will feature live sessions?

    We are still working on the Virtual Conference schedule, and we will post an updated agenda to the Conference website  All live sessions will be held on August 25-26, 2020 from 9:00 a.m. - 5:00 p.m. ET. These sessions also will be recorded and available for viewing later.

    What if I am unable to participate in the live sessions?

    If you are unable to tune in for the live broadcast, registered participants can access the recordings by logging into the virtual platform until September 30, 2020. All sessions will be posted the day after the live sessions take place. The process will be similar to logins for live programs, but you will be able to view the presentations at your convenience. You also can access the Virtual Exhibit Hall and Sponsor Showcase at any time convenient for you.

    Will Continuing Education be available?

    FCOA, in partnership with Florida Hospice and Palliative Care Association will be offering up to 10 CEUs for qualified sessions.  CLICK HERE to complete your application.  Only registered conference attendees are eligible for CEUs. 

    CEUs are available for the following clinical licenses: FL Board of Nursing; Florida Board of Clinical Social Work, Marriage and Family Therapy and Mental Health Counseling; Florida Board of Nursing - Certified Nursing Assistants; and Florida Board of Nursing Home Administrators.


    How do I cancel my hotel reservation?

    The hotel has canceled all hotel reservations that were made under the FCOA block of rooms.  If you made a reservation outside of the official rooming block (i.e. using or other agent) you will need to contact the hotel or the company you made the reservation with to cancel.

    What Equipment do I need to participate?

    Attendees need only a computer or tablet with internet access and speakers.  Phones may be used, but navigation and quality will be compromised.

    The recommended browser is Chrome.  If you do not currently have Chrome, we recommend that you install prior to the conference start date to ensure a quick and easy access to the conference.

    Attendees can network and ask questions using the 'chat' function in the virtual platform.  It is built in - no additional software will be needed.

    I am a presenter. What do I do now?

    FCOA will contact you with next steps and instructions. If you are unable to present in a live virtual environment, please let us know. If you have questions regarding presenting at the Virtual Conference, please contact [email protected].

    I am an exhibitor. How can I participate in the Virtual Exhibit Hall?

    All exhibitors who registered prior to June 1, 2020 will be contacted by FCOA staff to discuss Virtual Exhibit Hall opportunities.  The FCOA Virtual Conference will offer exhibitors an opportunity to be showcased in our Virtual Exhibit Hall. Please stay tuned for instructions on how you can interact with virtual attendees. For questions, please contact [email protected].

    I am a sponsor. What are the next steps to participate?  

    FCOA will be in contact with you to discuss integration into the Virtual Conference. We ask for your patience as we assess virtual platforms and value offerings for sponsors.
